Creating a Group Allotment

You can reserve space for a group of stations by creating a group allotment.

You can create the allotment template before the flight schedules for the allotment duration are present in the system. You must ensure that all the flight schedule records are properly entered in the system before creating the individual allotments for the days.

For group allotments, you need to create a Station Allotment Group code and associate all Station records to that Station Allotment Group code before creating the group allotment.

  1. Navigate to the Allotments screen. Click Master Data > Allotments.
  2. Click Add (Ins) or press Insert.
  3. In the Template tab, enter the details of the allotment. The following are minimum fields required to create an allotment.
    Field Description
Allotment Enter the allotment code. This serves as the name of the allotment and appears in the Flight List tables.
To Agent Leave this field empty.
To Station:/Group Select the Station Allotment Group code for which this allotment is valid. The drop-down list is to the right of the Station field.
Carrier Enter the code of the airline for which this allotment is applicable.
Flight Number Enter the flight number of the flight for which the allotment is applicable.
Origin The flight leg origin for which the allotment is valid.
Destination The flight leg destination for which the allotment is valid.
Weight The weight to be reserved.
From Date and Until Date Use these fields to define the duration of the allotment.
Day of Week The day or days of the week for which the allotment is applicable, where 1 is Monday, 2 is Tuesday, and so on. For example, 147 indicates that the allotment is for Monday, Thursday, and Sunday.
  4. Enter additional details in the corresponding fields as needed.
  5. Click OK.
If you leave out mandatory fields, Cargospot displays the missing fields in red at the bottom part of the screen.
The individual allotments are built and can be viewed on the Allotments tab. The Weight and Volume entered in the Template tab is populated in each created individual allotment. The allotments are created for the period if flight schedules are available. The populated Weight and Volume is the initial agreed weight and volume and can be edited later depending on any communicated change.

Allotments are automatically built by the Overnight job scheduler. Click the Build Allotments button to manually build the allotments for newly created flights, for example, flights which were not present at the time of saving the template but were created later.
