Creating Spot Rates

Spot Rates or Ad-Hoc Rates are given to agents for a limited time frame before or during the time of booking. Spot rates are created in Pricing > Sell Ad-Hocs.

Depending on your system configuration, the Ad-Hocs screen appears either as Ad-Hocs KG if your units are in kilograms or Ad-Hocs LB if your units are in pounds.

  1. Navigate to the Sell Ad-Hocs (Ad-Hocs) screen. You can do this by clicking Pricing > Sell Prices.
  2. Click Add (Ins). Some fields are automatically populated based on the settings of the currently logged on user.
  3. Complete the mandatory fields.
    1. In Agent, enter the forwarder or Agent to whom the rate applies. You can retrieve available agent codes from the database by clicking .
    2. Enter the Origin and Destination where the rate applies. You can also enter the Origin Zone and Destination Zone if you want the rate to be applicable to a wider area.
    3. Select ADHOC from the Price Type or price template drop-down list. The Price Type selected determines the columns in the Weight Break table.
    4. Define the effectivity period of the rate. The Effective Date is the begin date of the effectivity of the price record. Set the end date of the effectivity of the price record by entering Termination Date. You can select the date from the calendar by clicking beside Effective Date or Termination Date.
    5. Complete the Weight Break table.
  4. Click Reference.
    The system generates a reference number for the price quotation during booking.
  5. Optional: You can use the other available fields to further refine the rate. Most of the fields limit the rate so that the rate is only applicable in specific situations.
  6. Click OK.
The rate is saved. Once verified, the created rate is applied to a shipment that satisfies the conditions specified in the rate.
You can use the ad hoc reference number during the time of booking by entering it in the Adhoc Ref. field in the Booking screen. Depending on your system configuration, ad hoc rates are automatically verified according to the threshold rate set in the system. Ad hoc rates that are equal to or exceeding the threshold criteria are automatically verified and approved by the system. If the newly created or edited ad hoc rate is below the threshold, the ad hoc rate needs to be reviewed manually.
